Legal · Bharat AI Challenge
Effective date: 4 August 2026 · Last updated: 20 August 2026
01Who we are & what this covers▾
These Terms & Conditions ("Terms") govern participation in the Bharat AI Challenge ("Programme", "Challenge"), organised by XROBOTICS Works, incubated at REP IIT Bhubaneswar ("XROBOTICS", "we", "us", "our"), including use of the website xrbaic.xroboticsworks.com ("Site") and any related registration forms, workshops, events, and the national Finale.
These Terms are drafted to comply with the Digital Personal Data Protection Act, 2023 ("DPDP Act") and its Rules, as applicable in India. By registering for the Programme, submitting a project, attending a workshop, or otherwise using the Site, you (and, where you are under 18, your parent or lawful guardian) agree to these Terms.
02Eligibility & registration▾
- Open to students in Class 6 to Class 12, across CBSE, ICSE/ISC, State Boards, IB/Cambridge, and other recognised boards.
- Entry is free. Participants may apply individually or as a team of up to 5 members.
- Purchase of the specified Arduino board from XGenAI.IN is mandatory for eligibility, per Section 14.
- Registration must be completed by a parent/guardian or with their verified consent for any participant under 18 (see Section 4).
- We may verify age, school enrolment, and team composition, and may disqualify entries with false information.
03Personal data we collect▾
We do not knowingly collect sensitive personal data (health records, biometric data, financial account details) beyond what is incidentally needed — we do not ask for or store payment card details; hardware purchase is transacted directly with XGenAI.IN.
04Participants under 18 (DPDP Act, Section 9)▾
Most participants are children under the DPDP Act (persons under 18). The law places extra obligations on us, and extra protections on the participant, in addition to everything else in these Terms.
- Verifiable parental consent required. Before we collect or process any personal data of a participant under 18, we require verifiable consent from a parent or lawful guardian. The registration form must be completed or countersigned by a parent/guardian for any student under 18.
- Guardian phone number used as primary contact. All Programme communication (workshop scheduling, deadlines, results, prize disbursal) is directed to the parent/guardian's phone number and email, not the student's.
- No behavioural tracking or targeted ads directed at children. We will not use a child participant's personal data for behavioural monitoring, tracking, or targeted/personalised advertising, as prohibited under Section 9 of the DPDP Act.
- Promotional use is publicity, not advertising-targeting. Use of a child's name, photo, video, or project (Section 6) for publicity is opt-in and non-targeted, separate from any ad-targeting or profiling, which we do not do with children's data.
- Right to refuse without penalty. A parent/guardian may decline optional promotional consent (Section 6) without affecting eligibility, so long as core administration consents (Section 5) are given.
- Withdrawal. A parent/guardian may withdraw consent at any time by writing to the contact in Section 19; we will stop the relevant processing and ask any partner we shared the data with to do the same, where reasonably possible.
05Why we collect it & your consent▾
We ask for consent separately for each purpose below, not a single blanket consent. Required purposes are necessary to take part; Optional purposes can be declined without losing eligibility.
06Use of your name/photo/project for promotion▾
Where consented to (Section 4 governs how that consent is obtained for minors), XROBOTICS may use a participant's name, school, photograph, video footage, testimonial, and project details for:
- The Bharat AI Challenge website and Robotics Club digital properties
- Social media (Instagram, Facebook, LinkedIn) and press/media coverage
- Sponsorship decks, partner reports, and materials shared with confirmed sponsors and partners
- Radio mentions and promotional spots with our Official Radio Partner
- Future editions and marketing of the Bharat AI Challenge and related XROBOTICS programmes
This use is for programme publicity and credibility-building, not for selling data or ad-targeting the participant (see Section 4). A parent/guardian may request removal of specific photos/media by writing to us (Section 19); we will action this on a best-effort basis for future use, though material already published in print, broadcast, or shared with a partner prior to the request may not be fully retractable.
07IP & the XR4STEM Labs royalty programme▾
- Participants retain ownership of the IP in their submitted project, unless and until it is selected for XR4STEM Labs.
- For the top 2 ideas per track (12 total) selected into XR4STEM Labs, participants sign a separate licensing/development agreement before any product development begins. That agreement — not this general Terms page — sets out IP terms, the 10% royalty structure, and payment mechanics.
- No participant is obligated to accept a XR4STEM Labs offer; declining does not forfeit any prize already won.
08Who we share data with▾
We do not sell personal data to third parties. We do not share children's personal data for any third party's independent marketing use.
09Public voting participants▾
Between 1 September and 7 December 2026, entries are opened for public voting via WhatsApp. This applies to any member of the public who casts a vote, separately from the consents given by registered participants and their parents/guardians elsewhere in these Terms.
- What we collect. Your WhatsApp number, and the entry/entries you vote for.
- Why. Solely to record and de-duplicate votes (one vote per number per entry) and to compile the public leaderboard.
- What we don't do with it. We do not add voter numbers to any marketing list, and never use voter data for targeted advertising. Not shared with sponsors, partners, or any third party.
- Retention. Voting data is retained only for the duration of the voting period plus a short verification window, then deleted, unless you separately register for the Programme.
- Consent & withdrawal. Casting a vote is your consent to this limited use. Withdraw and request deletion any time by writing to us (Section 19).
- Minors voting. If a voter is under 18, the protections in Section 4 apply equally here.
10How long we keep your data▾
We retain registration and programme data for the duration of the current cohort plus 12 months after the Finale, for record-keeping, dispute resolution, and reporting to sponsors. Prize-winner and royalty-related records are retained as long as legally or contractually necessary. Promotional media may be retained longer where consent remains valid. Public voting data is retained only as set out in Section 9. You may request earlier deletion under Section 12, subject to any legal retention requirements.
11Data security & breach notification▾
We apply reasonable technical and organisational safeguards to protect personal data against unauthorised access, alteration, or loss. In the event of a personal data breach, we will notify the Data Protection Board of India and affected Data Principals as required under the DPDP Act.
12Your rights as a Data Principal▾
Under the DPDP Act, you (or a parent/guardian on behalf of a minor) have the right to:
- Access a summary of the personal data we hold about you and how it is being processed
- Request correction, completion, or updating of inaccurate or outdated personal data
- Request erasure of personal data no longer necessary for the purpose it was collected, subject to legal retention needs
- Withdraw consent at any time for any optional processing (Section 5/6), as easily as it was given
- Nominate another individual to exercise these rights on your behalf in the event of death or incapacity
- Register a grievance with us, and escalate to the Data Protection Board of India if unresolved
To exercise any of these rights, contact us using the details in Section 19.
13Grievance redressal▾
For any question, complaint, or request relating to your personal data, contact our designated Grievance Officer:
If you are not satisfied with our response, you may escalate your complaint to the Data Protection Board of India.
14Hardware purchase (XGenAI.IN)▾
Purchase of the required Arduino board from XGenAI.IN is a transaction directly between the participant/parent and XGenAI.IN. XROBOTICS is not the seller of record, does not process payment for this purchase, and is not liable for delivery, defects, refunds, or payment disputes related to it. XGenAI.IN's own terms and privacy policy govern that transaction. Participants must retain the invoice for verification at registration, review, and submission stages.
15Contest rules & conduct▾
- All submissions must be original work of the registered team, built on the required hardware.
- Plagiarism, falsified invoices, or misrepresentation of team composition/age/school will result in disqualification.
- XROBOTICS' judging decisions are final.
- Participants and parents/guardians agree to behave respectfully at workshops and the Finale; XROBOTICS may remove any participant for unsafe or disruptive conduct.
16Liability & disclaimers▾
The Programme, Site, and related materials are provided on an "as is" basis. XROBOTICS is not liable for indirect or consequential loss arising from participation, technical failures of the Site, or third-party vendor issues (Section 14). Nothing in this section limits liability that cannot be excluded under Indian law, including obligations under the DPDP Act.
17Changes to these terms▾
We may update these Terms from time to time to reflect legal, operational, or programme changes. The "Last updated" date at the top will change accordingly. Material changes affecting how children's data is used will be re-notified to registered parents/guardians.
18Governing law & jurisdiction▾
These Terms are governed by the laws of India. Courts at Kolkata shall have exclusive jurisdiction over any dispute arising from these Terms.
